How to Transition Away from Your MSP and Take Control of Your IT

A practical guide for businesses that have outgrown their MSP, want to bring IT in-house, or need to fire their current provider without losing access to their systems.

Many businesses reach a point where their managed service provider no longer fits. Maybe response times have slowed, costs keep climbing, or you have realized that someone outside your organization holds the keys to every critical system. Transitioning away from an MSP is not just a contract change. It is an operational shift that needs to be handled deliberately so you do not lose access to your own infrastructure.

This guide walks through how to make that transition cleanly, from recognizing the signs to cutting over without disruption.

Signs you have outgrown your MSP

Not every frustration means you should leave your provider. But certain patterns are strong signals that the relationship has run its course:

  • Slow or inconsistent response times. You are waiting hours or days for issues that used to be resolved quickly. Ticket backlogs grow, and urgent problems sit in a queue.
  • Rising costs without clear value. Your monthly bill keeps increasing, but you cannot point to corresponding improvements in reliability, security, or support quality.
  • You have no visibility into your own systems. The MSP controls your admin accounts, firewall rules, cloud tenants, and vendor relationships. If you asked for a full inventory right now, you are not sure they could provide one, or you are not sure you would get complete answers.
  • Cookie-cutter solutions. Your business has specific needs, but the MSP applies the same playbook to every client. You keep hearing "that is not something we support" or being pushed toward their preferred vendors.
  • Staff frustration. Your team dials the support line reluctantly. They have learned to work around problems instead of reporting them because the support experience is painful.
  • You are already doing IT work yourself. The owner or an office manager is handling tasks that should be covered by the MSP, because it is faster than opening a ticket.

If several of these sound familiar, you are not just unhappy with your provider. You have probably outgrown the model entirely.

What to prepare before the transition

The worst time to figure out what your MSP controls is after you have already told them you are leaving. Preparation should start weeks or even months before the actual cutover.

Get your documentation in order

Request a full inventory of everything the MSP manages on your behalf. That includes:

  • servers, workstations, and network devices
  • cloud services and subscriptions (Microsoft 365, Google Workspace, AWS, Azure, etc.)
  • firewall and switch configurations
  • backup systems and their schedules
  • vendor accounts and license details
  • domain registrations and DNS records
  • SSL certificates and their renewal dates

If your contract requires the MSP to provide this documentation upon termination, make the request in writing early. If there is no such clause, ask anyway. You will need it regardless.

Review your contracts carefully

Read your managed services agreement end to end. Look for:

  • notice periods and termination requirements
  • data return or destruction obligations
  • fees or penalties for early termination
  • ownership clauses for configurations, backups, or custom work
  • any language about transition support or cooperation

If the contract is vague about what happens at the end, that is a risk. Get clarity in writing before you announce the transition.

Identify your critical systems

Not everything the MSP touches is equally important. Make a short list of the systems your business cannot function without. Email, file storage, line-of-business applications, internet connectivity, and phone systems usually top that list. These are the things that must stay online during the cutover, no matter what.

Back up everything you can access

If you have any admin-level access today, use it. Export configurations, download backup copies, take screenshots of settings, and save license keys. Do not assume the MSP will hand everything over gracefully after you terminate.

The credential and access audit

This is the single most important step in the entire transition, and it is the one most businesses skip or rush through.

Your MSP likely has admin accounts across every system in your environment. That means domain administrator credentials, cloud tenant global admin access, firewall management logins, router and switch credentials, DNS registrar access, backup console accounts, and vendor portal logins. If you do not audit and change these credentials, your former provider will retain access to your infrastructure indefinitely.

Build a credential inventory

Go system by system and list every account the MSP uses. Do not forget:

  • Active Directory or Entra ID admin accounts
  • Microsoft 365 or Google Workspace global admin
  • Firewall management accounts (both GUI and CLI)
  • Switch and router management credentials
  • DNS registrar and hosting control panel logins
  • Backup console accounts
  • Wi-Fi controller access
  • VPN accounts and shared secrets
  • Vendor and support portal credentials (Dell, HP, ISP portals, etc.)
  • Remote access tools (RMM, screen connect, AnyDesk, etc.)
  • Line-of-business application admin accounts
  • Email and security filtering admin consoles

If the MSP set it up, assume they have an account on it.

Rotate every credential

Once you have the inventory, change every password and disable every MSP-specific account. Do this in a coordinated way during the cutover window, not piecemeal over weeks. If you change some credentials but not others, you create a gap where the MSP still has partial access.

Pay special attention to service accounts. These are often overlooked because they do not belong to a person, but they can have broad permissions and are rarely rotated.

Remove remote access tooling

Your MSP almost certainly deployed remote monitoring and management software on your workstations and servers. Identify every agent and remove it. Common ones include ConnectWise, N-Able, Datto RMM, Atera, and ManageEngine. Check servers, workstations, and any network devices that support agent-based management.

Hiring or contracting IT support

Before you cut the cord with your MSP, you need someone ready to take over. That might be:

  • A full-time IT hire. Best if you have enough ongoing work to justify a dedicated person. Look for someone with generalist skills who can handle infrastructure, user support, vendor management, and security basics.
  • A contracted IT provider with a different model. Some providers offer co-managed or on-demand support instead of full outsourcing. This can give you a safety net without handing over total control.
  • A fractional or part-time IT director. Good for organizations that need strategic guidance and oversight but not 40 hours a week of hands-on support.

Whichever path you choose, make sure your new support is in place and has had time to review your environment before the MSP exits. A gap between providers is where outages happen.

The cutover process

The actual transition should happen in a defined window, not as a slow fade. Here is a practical sequence:

  1. Confirm your new support is ready. Your replacement IT person or provider should have reviewed documentation, verified access to critical systems, and confirmed they can respond to issues.

  2. Notify the MSP formally. Follow the termination process in your contract. Be professional but direct. State the termination date clearly.

  3. Coordinate the credential rotation. Change all admin passwords and disable MSP accounts during a planned window, ideally on a Friday or during a low-activity period. Have your new IT support on standby.

  4. Remove RMM and remote access agents. Uninstall every remote management tool the MSP deployed across all devices.

  5. Verify backup operations. Confirm backups are running and restorable under the new configuration. Do not assume. Test a restore.

  6. Update vendor contacts. Contact key vendors (ISP, hardware vendors, software vendors) and update the technical contact from the MSP to your organization. This prevents your former provider from making changes on your behalf.

  7. Communicate with your team. Let your staff know that IT support is transitioning, who to contact for issues, and what to expect during the changeover.

  8. Monitor closely for the first two weeks. Things will surface. A forgotten service account, an undocumented firewall rule, a system that was relying on an MSP script. Expect it and have your new support ready to respond.

Verifying the MSP no longer has access

After the cutover, do a deliberate verification pass. This is not paranoid. It is responsible.

  • Check firewall logs for any connections from known MSP IP addresses or management tools.
  • Review Active Directory or Entra ID for any remaining MSP accounts, service accounts, or delegated permissions.
  • Audit cloud tenant sign-in logs for any logins from MSP accounts after the termination date.
  • Verify DNS registrar access has been fully transferred and that no MSP email addresses remain as contacts.
  • Confirm remote access tools are gone by scanning for agent processes on workstations and servers.
  • Review email forwarding rules for any rules the MSP may have set up to copy or redirect mail.
  • Check for shared mailboxes or delegated access that was not removed.

If you find anything, shut it down and document it. This audit should happen within the first week after cutover, not months later.
